From time to time, His Excellency The Governor-General endorses the objectives of select organizations by formally granting them patronage, thereby providing them with the name and prestige of the Vice-Regal office.\u00a0 However, patronage is an expression of support for the general aims of the organization, and is not evidence of endorsement for specific initiatives.<\/p>\n

\u00a0<\/p>\n

A.\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0 Criteria<\/strong><\/p>\n

Organizations which seek patronage should:<\/p>\n

\n
1. Be appropriately constituted with organizational rules and objectives. <\/li>\n
2. Be financially responsible. <\/li>\n
3. Have aims that are in harmony with \u00a0institutional or personal themes and interests of The Governor-General<\/li>\n
4. Have active, annually-implemented programmes.<\/li>\n
5. Not be a commercial for-profit enterprise.<\/li>\n<\/ol>\n

   \u00a0<\/p>\n

   B. <\/strong>Operational Guidelines<\/strong><\/p>\n

   Organizations that wish the patronage of His Excellency the Most Honourable<\/span> Sir Patrick Allen and\/or Her Excellency the Most Honourable<\/span> Lady Allen should:<\/p>\n

   1.\u00a0\u00a0\u00a0\u00a0\u00a0 Submit a letter (not e-mail).<\/p>\n

   2.\u00a0\u00a0\u00a0\u00a0\u00a0 Provide \u00a0supporting documentation, including:<\/p>\n

   o\u00a0\u00a0 \u00a0A copy of the constitution and\/or articles of association.<\/p>\n

   o\u00a0\u00a0 \u00a0A brief history of the organization and its objectives.<\/p>\n

   o\u00a0\u00a0 \u00a0Details of its sources of funding.<\/p>\n

   o\u00a0\u00a0 \u00a0A list of its Board of Directors.<\/p>\n

   o\u00a0\u00a0 \u00a0Its latest financial report.<\/p>\n

   o\u00a0\u00a0 \u00a0Any other relevant information.<\/p>\n

   3.\u00a0\u00a0\u00a0\u00a0\u00a0 Indicate the way in which the patronage request has been authorized (e.g<\/span>. by vote at an annual general meeting).<\/p>\n

   4.\u00a0\u00a0\u00a0\u00a0\u00a0 Indicate, by listing, \u00a0\u00a0the expectations of the Patron.<\/p>\n

   5.\u00a0\u00a0\u00a0\u00a0\u00a0 Indicate if The Governor-General or Lady Allen, or both are being sought as Patron (s).<\/p>\n

   \u00a0<\/p>\n

   C<\/strong>.\u00a0 Approval<\/strong><\/p>\n

   When written approval has been given for patronage, the following must be observed:<\/p>\n

   1.\u00a0\u00a0\u00a0\u00a0\u00a0 Draft copies of all\u00a0 \u00a0programmes, menu cards, as well as promotional material, invitations and similar material intended for printing and\/or broadcast dissemination must be submitted to the Office of the Governor-General for approval before publication.<\/p>\n

   2. <\/strong>Once approval is given for the publication of documents, there shall be no changes, unless agreed by the Office of The Governor-General. Any changes made and published without prior approval will result in cancellation<\/span> of the Patronage.<\/strong><\/p>\n

   3.\u00a0\u00a0\u00a0\u00a0\u00a0 A copy of the annual report, including audited financial statements, should be submitted on a timely basis.<\/p>\n

   \u00a0<\/p>\n

   D.<\/strong> Functions Attended by Their Excellencies<\/strong><\/p>\n

   1.\u00a0\u00a0 Approval of Patronage for specific events does not mean that Their Excellencies will be present at the function.\u00a0 If their presence is desired, a separate letter of invitation should be sent to the Office, if possible, at least three (3) months before the proposed date of the event. \u00a0It is not correct to send only a printed invitation card.\u00a0 If Their Excellencies accept an invitation to a function, the following should be observed:<\/p>\n

   a.\u00a0\u00a0\u00a0\u00a0 Details should be provided including:<\/p>\n

   i.\u00a0\u00a0\u00a0\u00a0\u00a0 the exact location.<\/p>\n

   ii.\u00a0\u00a0\u00a0\u00a0\u00a0 contingencies that have been put in place for alternate venue \u2013 if the event is outdoors.<\/p>\n

   iii.\u00a0\u00a0\u00a0\u00a0\u00a0 time of the event.<\/p>\n

   v.\u00a0\u00a0\u00a0\u00a0\u00a0 dress code<\/p>\n

   b.\u00a0\u00a0\u00a0\u00a0 Information should also be provided on:<\/p>\n

   i.\u00a0\u00a0\u00a0\u00a0\u00a0 the name of the person chairing the function.<\/p>\n

   ii.\u00a0\u00a0\u00a0\u00a0\u00a0 the names of persons who will be seated at the head table (if applicable).<\/p>\n

   iii.\u00a0\u00a0\u00a0\u00a0\u00a0 the number of persons invited to attend the event.<\/p>\n

   iv.\u00a0\u00a0\u00a0\u00a0\u00a0 the dignitaries who have been invited to the event.<\/p>\n

   v.\u00a0\u00a0\u00a0\u00a0\u00a0 duration of the function<\/p>\n

   vi.\u00a0\u00a0\u00a0\u00a0\u00a0 proposed Media coverage<\/p>\n

   \u00a0<\/p>\n

   c.\u00a0\u00a0\u00a0\u00a0 Organisers<\/span> of speaking engagements should also ensure that:<\/p>\n

   i.\u00a0\u00a0\u00a0\u00a0\u00a0 the public address system is in good working order.<\/p>\n

   ii.\u00a0\u00a0\u00a0\u00a0 a podium or lectern is in place.<\/p>\n

   iii.\u00a0\u00a0\u00a0 audiovisual equipment (if applicable) is in good working order.<\/p>\n

   iv.\u00a0\u00a0\u00a0 they facilitate a site visit by a team headed by The Governor-General\u2019s Aide-de-Camp.<\/p>\n

   v.\u00a0\u00a0\u00a0 They familiarize themselves with the protocol involved in functions at which Their Excellencies are present.<\/p>\n

   E.<\/strong> Duration of Patronage<\/strong><\/p>\n

   Patronage should not be assumed to continue indefinitely from one Governor-General to his successor.\u00a0 Each time a Governor-General changes, organizations should re-apply for patronage.<\/p>\n
